Background and General Scope of Position
Reporting to the Senior Manager, Programming & Events, the Specialist, Programming & Events is a highly energetic and creative individual who plays a key role in executing event activations and community programming. The ideal candidate is a detail-oriented, task-driven self-starter eager to contribute to CMLC’s fast-paced team, which leads events and placemaking programs for East Village, Calgary’s Culture + Entertainment District (C+E), and other CMLC projects.
This full-time position supports a robust programming strategy designed to connect diverse audiences to the communities in which CMLC operates. The role involves a mix of weekday, evening and weekend hours, totaling a standard 37.5 hour workweek, encompassing office-based tasks and year-round outdoor event execution.
The Specialist, Programming & Events brings 4+ years of experience in community programming and event logistics, including venue operations, creative event activations, team coordination, and partner collaboration. They/she/he possess event team leadership experience, exceptional organizational skills, and clear verbal and written communication abilities.
The successful candidate excels at managing multiple tasks within a structured workplace, demonstrates a strong understanding of workflows, supports collaborative initiatives, and communicates effectively with cross-functional teams. They/she/he values teamwork and thrives in collaboration with colleagues and external stakeholders, including vendors, community partners, performers, and production suppliers.
Event and programming activations are delivered in a dynamic outdoor urban setting, requiring engagement with a diverse audience and participants from various socio-economic backgrounds. Successful execution involves physical readiness to handle event setup and breakdown, including tents, tables, and other event supplies. A strong commitment to accuracy, attention to detail, and dedication to excellence is essential to ensure events are carried out seamlessly and professionally. Position Details
Key Accountabilities/Deliverables:
- Maintain a comprehensive year-round calendar of internal and external events involving 65+ partner organizations, ensuring accurate scheduling
- Support the ideation, planning, and delivery of programs and brand events, elevating guest experiences, fostering engagement, and driving visitation to CMLC-managed spaces
- Support the part-time event team, overseeing shift scheduling, preparation of shift information, providing on-shift guidance
- Lead the venue booking process for external event organizers, managing event document collection, navigating venue considerations, and overall alignment with CMLC priorities
- Arrange event logistics for events including site visits, setup, teardown, and communicating details to cross-functional teams to ensure seamless execution
- Serve as the on-site representative for events, most of which take place during evenings and weekends, coordinating with vendors, artists, entertainers, external event organizers, and guests to ensure a safe and engaging experience
- Collaborate with the Marketing department on promotional plans that enhance visibility and awareness of events and programs
- Establish and maintain relationships with partner organizations and community stakeholders to foster collaboration
- Represent CMLC during events, maintaining consistent messaging aligned with communications and marketing objectives and project milestones
- Assist with inventory management of event supplies and engagement tools, ensuring spaces are organized and properly maintained
- Collect and organize detailed event records for reporting and future decision making, including metrics and insights
- Support CMLC team initiatives by contributing to administrative duties, budget management, and cross-departmental collaboration as assigned

Qualifications
Essential Relevant Experience
- Minimum 4+ years community programming and event execution experience with relevant training and progression in event related roles and a desire to build a career in events and programming
- Post-secondary education in Event Management, Marketing, or Communications preferred
- Excellent written and verbal communications skills in both formal and informal settings
- Strong knowledge of Microsoft Office including Outlook, Word, Excel and Powerpoint
- Experience working with diverse communities and numerous organizations
- Experience in real estate and/or land development industry is considered an asset
- Knowledge of social media platforms and promotional strategies is an asset
